1. Scope and responsible organization
AzTec Consultants, Inc. ("AzTec," "we," "our," or "us") controls the information processed through AzTec Field Apps. The app supports internal field scheduling, task updates, manhole and field-data collection, vehicle check-ins, maintenance documentation, offline work, and synchronization with AzTec systems.
This policy covers information handled by the mobile app and the AzTec systems to which it connects. Separate Microsoft and Apple privacy terms may apply to services they provide independently.
2. Information we collect
The information collected depends on a user's role and the functions they use.

Location clarification: The app may display job-site coordinates already stored in AzTec systems and open a mapping application for directions. Unless a feature expressly asks for device-location permission, the app does not collect continuous device location or track employees in the background.
3. How we collect information
- From users when they enter, edit, photograph, attach, submit, or synchronize work.
- From AzTec systems including employee, role, schedule, project, vehicle, maintenance, and field records.
- From Microsoft through verified company-managed sign-in.
- Automatically through technical, diagnostic, error, and synchronization events.
4. How we use information
- Authenticate users and enforce Admin, Driver, and Field permissions.
- Provide schedules, tasks, manhole workflows, check-ins, maintenance, alerts, attachments, and offline sync.
- Associate records with the correct employee, project, driver, vehicle, and time.
- Operate the business and support fleet, safety, quality-control, and recordkeeping processes.
- Respond to support requests and investigate errors, misuse, security events, or suspected fraud.
- Maintain, test, troubleshoot, and improve the app and connected systems.
- Meet legal, contractual, employment, safety, insurance, audit, and recordkeeping obligations.
AzTec does not use app information to make advertising profiles.
6. Sale, advertising, and tracking
AzTec does not sell personal information collected through AzTec Field Apps. The app has no third-party advertising. AzTec does not share app information for cross-context behavioral advertising or track users across other companies' apps and websites for advertising.
7. Device permissions
- Camera: to photograph vehicle conditions, maintenance invoices, and field documentation.
- Photo library: to select user-chosen photos or documents for authorized work records.
Users can change permissions in iOS Settings. Denial may prevent the related attachment feature but does not authorize AzTec to access other camera or photo content.
8. Offline storage and synchronization
The app may store pending check-ins, maintenance submissions, task updates, manhole records, photos, invoices, and sync metadata on the device. Pending information is sent to AzTec systems when the user syncs or configured automatic synchronization becomes available.
Signing out does not automatically erase pending offline work because that could destroy unsynchronized company records. Users should synchronize before changing devices, uninstalling the app, or asking support to clear local data.
9. Retention and deletion
AzTec retains information as reasonably necessary to operate the app and business, maintain project, survey, fleet, maintenance, safety, employment, audit, and legal records, resolve disputes, enforce agreements, and meet applicable requirements. Periods vary by record type and obligation.
Pending offline information remains until synchronized, removed through app controls, cleared by authorized support, or local app storage is deleted. Server records may remain in backups for a limited period after removal from active systems.
Employee accounts are managed outside the app. When access ends, AzTec may disable the account or revoke the app role while retaining business records that must remain associated with completed work, vehicles, projects, audits, or legal obligations.
10. Security
AzTec uses safeguards designed to protect information, including company-managed authentication, role-based authorization, encrypted network transmission, restricted access, logging, and monitoring. No storage or transmission method is completely secure. Users must protect devices and Microsoft accounts and promptly report loss, compromise, or unintended disclosure.
11. Your choices and privacy requests
Authorized users may request access to, correction of, or deletion of personal information or ask questions about processing. AzTec evaluates requests under applicable law and its legitimate business, employment, safety, and recordkeeping obligations.
- Camera and photo access can be revoked in iOS Settings.
- Users can sign out in the app to end the active session.
- Microsoft accounts and employment/app roles are managed by AzTec outside the app.
- Requests to disable an account, revoke app access, or delete eligible information may be sent using the contact details below.
Some records cannot be deleted when AzTec must retain them for business, safety, employment, contractual, audit, or legal purposes. Where applicable, AzTec may restrict use or remove direct identifiers instead.
12. Children's privacy
AzTec Field Apps is a workplace application and is not directed to children under 13. AzTec does not knowingly provide app accounts to children or collect children's personal information through the app.
13. Changes to this policy
AzTec may update this policy as the app, service providers, or legal requirements change. The current version will remain at this URL with a revised Last updated date. Material changes may also be communicated through the app or company channels.
